What is the Virtual Graduate School Showcase (Showcase)?
The Virtual Graduate School Showcase Hosted by Georgia Tech is an opportunity for prospective students from across the world to meet with recruiters from Georgia Tech as well as other universities in the U.S. and beyond virtually. The event focuses on traditional academic graduate programs (master’s and doctorate) as well as deferred MBA programs. Professional schools such as law, medical, etc. are not included. Graduate programs based in professional schools are welcome.
What is the purpose of the Showcase?
The Virtual Graduate School Showcase (Showcase) Hosted by Georgia Tech is an annual event free to all prospective students who register. The Showcase is an opportunity to:

- Invite your current prospect students to attend and connect with you.
How much does the Showcase cost? What does the fee include?
All Georgia Tech programs that participate in the Showcase will participate in the morning session called Meet Georgia Tech for free. Participation is voluntary. Georgia Tech programs can only participate in the Meet Georgia Tech session.
- Meet Georgia Tech from 10:00am – 12:00pm ET
All non-Georgia Tech programs pay $55 for two hours and only participate in the afternoon session called Chat with Recruiters.
- Chat with Recruiters from 1:00pm – 3:00pm ET
What type of programs can participate?
Traditional master’s and doctoral programs as well as deferred MBA programs from anywhere in the world can participate.
The Showcase is not for professional programs such as medicine, law, etc.
Graduate programs based in professional schools are welcome.
What is the Showcase schedule? Do I Have to be there for the whole showcase?
The Showcase is Friday, October 18, 2024 from 8:30am – 3:00pm ET. Recruiters only participate in particular blocks of the Showcase.
Georgia Tech programs: 10:00am – 12:00pm ET
non-Georgia Tech programs: 1:00 – 3:00pm ET

The Showcase is a live event so a recruiter needs to be present for the entire two hours of their session. No pre-made recordings or links to websites in place of an actual human that can answer questions, etc. No shortened sessions such as “only 11:00am – 12:00pm” during a session that is actually 10:00am – 12:00pm.
What platform do we have to use to participate?
Recruiters may pick their platform of choice (Zoom, etc.) Georgia Tech recruiters may want to use those supported by Georgia Tech (Zoom and MS Teams).
We strongly encourage recruiters to use Zoom if possible because of the manageability of meeting links.
You can have panel sessions, live streams, webinars, lab tours, etc. All events must be live. No recordings can be posted in place of actual recruiters or other event hosts (students, faculty, etc.)
Will I will be in a virtual conference space?
No. Each program will set up their own links and session structure. Links are posted on the event website in the appropriate section of the event (Meet Georgia Tech or Chat with Recruiters). Multiple recruitment sessions will happen at the same time, and prospective students will use the individual program links on the website to access their programs of interest.
You may organize your recruitment time in any way that works best for your program. Examples include panel sessions with students and faculty, virtual tours, or simple conversations. You can decide!
Prospective students can come and go as they like so repeating a shorter session in your block of time may also be beneficial to your recruiting efforts.

Is the event live?
The Showcase is a live event/in real time. We will not post any asynrchronous promotional materials in place of an actual person being available to talk with prospective students. A recruiter needs to be present for the entire two hours of their session. No shortened sessions such as “only 11:00am – 12:00pm ET” during a session that is actually 10:00am – 12:00pm ET.
Can we represent multiple programs? What are the options?
Recruiters have different options when registering.
Option 1: Same school, multiple programs, multiple recruiters, one meeting listing, one meeting link
Multiple recruiters who represent different programs within the same school/department/college want to be in the same session
For example: The Buzz University School of Engineering has three programs, each with its own recruiter, but the recruiters want to be in the same info session. Recruiter 1 registers for all three programs in one registration form under Buzz University School of Engineering (Programs A, B, and C). Recruiter 1 lists their name as the contact in the registration. Recruiter 1 pays only one $55 registration fee (Georgia Tech programs do not pay) for the Buzz University School of Engineering. There will be one session listed on the Showcase website for all three programs with one meeting link for the Buzz University School of Engineering (Programs A, B, C) but with Recuiters 1, 2, and 3 in the same meeting space. Recruiters 1, 2 and 3 and prospective students will be able to communicate with each other within the same session. Break out rooms work well with this option. Recruiter 1 will be the only one to receive communication about the Showcase and will need to share that information with Recruiters 2 and 3.
Option 2: Same school, multiple programs, multiple recruiters, separate meeting listings, separate links
Multiple recruiters who represent different programs within the same school/department/college each want their own session.
For example, Recruiter 1 from Program A, Recruiter 2 from Program B, and Recruiter 3 from Program C each register separately even though they are all part of the Buzz University School of Sciences. Each program registers separately and pays a $55 registration fee (Georgia Tech programs do not pay). Each program will have a separate session listed on the Showcase website with a separate meeting link. Recruiters will only be able to communicate with the prospective students who come to their own session. Recruiters 1, 2, and 3 will not be able to communicate with each other in their respective sessions. Recruiters 1, 2, and 3 will each receive Showcase communication.
Option 3: Multiple programs, one recruiter, separate meeting listings, same link
One recruiter represents programs A, B, and C and wants to direct all prospective students to the same space.
For example: Recruiter from the Buzz University School of Liberal Arts registers and pays a $55 registration fee for each program they represent (Georgia Tech programs do not pay). Program A, B, and C will each have their own listing on the Showcase website. However, Recruiter uses the same meeting link in each registration. Recruiter is the contact for Programs A, B, and C. Using the same link means prospective students for Programs A, B, or C will be in the same virtual space even though Programs A, B, and C are listed separately on the Showcase website. Option 3 works especially well for recruiters who represent multiple small programs.
Note: Try using the same browser and email for each registration first. if you have problems, you may have to register using different browsers and possibly different email addresses for this option. Recruiter may also receive all communication about the Showcase in triplicate.

HOW do i pay after i register?
There are TWO steps to registration.
- Fill out the registration survey on the registration page.
- Pay for your registration.
Georgia Tech programs participate for free. No further action is needed after completing the registration survey. All non-Georgia Tech programs must submit payment separately from the registration survey for registration to be complete.
Programs from outside of Georgia Tech pay $55.
Please follow the directions below. If a form of payment is not listed, do not use it.
We have a lot of difficulty tracking down payments that are not sent according to the information we provide.
Please give the information below to the person in your office responsible for payment. Do not assume that payment directions or entries in your payment system(s) from a previous Showcase or different event at Georgia Tech are correct for the 2024 Showcase.

Filling out the registration survey is only the first step of registration. Your registration is not complete without receipt of payment.

How can I change my registration information?
If you need to change your registration, please email gtgradshowcase@gatech.edu. We will communicate multiple times before the event to ensure that the information posted on the Showcase website is correct as well.
why do I register so far in advance?
To garner as much interest as possible from prospective students, having the actual list of recruiters who will be participating finalized and all website content up-to-date as much as possible are key.
Will I get a list of prospective students who have registered so I can contact them directly before the event?
Can I invite prospective students I already know about to register for the Showcase?
Absolutely! The event is free to any prospective student anywhere in the world so feel free to let prospects know about our event. and invite them to meet you there. You can put the Showcase as an event on your website and on social media.
